Key Responsibilities

  • The Operations Associate is responsible for providing general support and assistance to PPS leadership and staff and overseeing daily office operations
  • Maintaining calendar, event schedules and providing administrative support, including (but not limited to):
  • Making travel arrangements, scheduling and planning meetings.
  • Preparing and coordinating agendas, information, and other pertinent items for daily meetings and events
  • Reviewing mail & overseeing records
  • Oversight of expense & reimbursement requests
  • Drafting and preparing correspondence and reports
  • Responding to requests for information, directing requests to the appropriate party
  • Coordinating, managing and following through on correspondence between PPS Principals and clients regarding meetings, projects and other issues
  • Planning and coordination of events in DC, and potentially other locations, as needed
  • Ensures that PPS Principals are properly briefed for events, meetings, media appearances and public events. While he/she may not prepare all of the briefing material, he/she must ensure that the staff member in charge provides the material well in advance
  • Acts as note taker for various meetings and conference calls. Drafts memoranda on meeting content and decisions taken. Conducts relevant research and drafts memoranda in preparation for meetings or conference calls
  • Acts as the administrative liaison for staff meetings; informs the staff of scheduled meetings and ensures the distribution of material in advance of the meeting
  • Supporting PPS leadership with the hiring process for new employees to include formulating job descriptions, posting available positions online, and filtering applications
  • Conducts other duties as assigned
